When to Open a Trade Dispute on NairaFX

Protected trade-dispute review examining receipts, messages and transaction evidence.

A trade dispute is a formal request for protected review when the participants cannot safely reconcile settlement facts. It is not a shortcut for ordinary questions, and opening one does not automatically prove that either member committed wrongdoing.

Problem noticed→Pause settlement→Verify facts→Document in Trade Room→Resolve or dispute

Start with the current trade stage

Read the locked amount, rate, participants, route and payment order. Identify which action was due and what the Trade Room records. A bank delay during the permitted delivery period may require an update, not an immediate allegation. A request to send to a different account is a different kind of problem and should stop settlement immediately.

Situations that usually justify a dispute

  • A participant claims payment or delivery, but the expected usable credit cannot be verified.
  • The amount, currency, sender, beneficiary or route materially differs from the locked terms.
  • A participant refuses the protected payment order or insists on an off-platform account.
  • Funds are reversed after a status was confirmed.
  • An unexpected third-party payment or refund request cannot be safely reconciled.
  • A participant becomes unresponsive after a required action and reasonable documented attempts.
  • Evidence appears altered, reused or inconsistent with the bank record.

Problems that may not yet require a dispute

A question about a reference, a bank processing delay still within the stated estimate, or a minor misunderstanding that both parties can correct in the Trade Room may be resolved through normal communication. Do not change a status to create urgency. State what is pending and the next verifiable action.

Worked example: payment shown but not received

A buyer uploads a receipt for ₦822,000 and marks payment sent. The seller’s verified Naira account shows no usable credit. The seller should check the correct account through a trusted channel, record the time and status, and ask the buyer to trace the transfer. If the buyer pressures the seller to confirm or the bank trace cannot reconcile the payment, the seller should open a dispute and attach the original receipt, messages and account evidence permitted by policy.

Worked example: wrong destination requested

After reservation, a counterparty supplies a replacement account through WhatsApp. Do not send. Record the request in the Trade Room and seek support. If the counterparty refuses the verified instruction, a dispute creates an auditable review before funds move.

Evidence checklist

  1. Trade number and disputed stage.
  2. The locked amount, currency, route and payment order.
  3. Original bank or provider evidence with relevant reference and status.
  4. Direct account findings: missing, pending, short, posted or reversed.
  5. Relevant Trade Room messages and timestamps.
  6. A concise statement of the outcome requested.

Do not upload passwords, PINs, OTPs, full card credentials or unrelated account history. Preserve original files; repeated screenshots of screenshots can remove useful metadata and context.

How to write a useful dispute statement

Use facts rather than conclusions: “The trade expected $600 by local USD inflow. At 14:20 the verified account showed no credit. The sender supplied reference ABC123, attached. The bank says the transfer is still pending.” This gives a reviewer events, times and evidence without assuming fraud.

What happens during review

Operations may compare the reservation, payment order, account context, receipts, messages and status history. It may request a bank trace or clearer document. Possible outcomes include continued waiting, correction, documented refund, completion, cancellation, integrity escalation or another action allowed by policy. A dispute outcome depends on evidence, not member seniority alone.

A practical dispute timeline

At discovery: stop the next irreversible action, check the correct account and write a factual Trade Room update. During initial checking: obtain the formal reference and ask the relevant bank or provider to trace the transaction. At escalation: open the dispute with the locked terms, verified findings and original evidence. During review: answer requests in the protected record and avoid parallel agreements. At resolution: follow the documented outcome and preserve completion or refund evidence.

Disputed refunds

A refund can create a second risk if it is sent to a destination unrelated to the original source. Establish who sent the funds, why they should be returned, the approved destination and whether a reversal is already underway. Never refund simply because a chat message supplies a new account. Where a bank or reviewer provides a controlled resolution, retain its reference and confirm the final result.

Evidence quality versus evidence volume

Twenty repeated screenshots are not stronger than one original bank document combined with a direct account check and trace reference. Organise evidence chronologically and explain what each item demonstrates. Avoid irrelevant personal information that obscures the disputed event.

Possible review findings

  • Bank delay: the instruction is genuine but unsettled, so more tracing time is required.
  • Member error: incorrect details or amount require an approved correction.
  • Route mismatch: settlement used an account or method outside the locked terms.
  • Unsupported claim: evidence does not establish the reported payment or delivery.
  • Integrity concern: manipulation, repeated misconduct or suspicious funding requires escalation.

After the dispute closes

Check that the trade status matches the outcome and that any refund or corrective delivery is recorded. A closed dispute should not erase the underlying audit trail. If new bank evidence later contradicts the result, report it promptly with the original trade number rather than starting an unrelated transaction.

What not to do

  • Do not send a duplicate payment without tracing the first.
  • Do not refund to a newly supplied destination.
  • Do not threaten, publish private data or continue the argument off-platform.
  • Do not falsely confirm a stage to reveal instructions or close the room.
  • Do not delete messages or alter evidence.
