Why Payment Screenshots Are Not Proof of Cleared Funds

A screenshot records what appeared on a screen at one moment. It cannot by itself prove that the correct receiving account has obtained final, usable credit.

What a screenshot cannot establish

Images can be cropped, edited, reused or generated from a pending instruction. They may hide the sender name, account destination, status, time or reference. Even an authentic image can describe a transfer that later fails or is reversed.

SMS and email alerts have similar limits. They can be delayed, spoofed or disconnected from the actual ledger balance. Treat them as prompts to check—not as the check itself.

What cleared-funds confirmation requires

Open the bank or provider through your normal trusted method. Confirm the receiving account, currency, exact amount, posting status and available balance. Where relevant, compare the sender and reference with the trade record.

Do not use a link supplied by the counterparty to sign in. Never reveal an OTP, password or PIN while verifying.

How evidence still helps

A genuine receipt remains useful supporting evidence. It can show when an instruction was initiated and give a bank a reference for tracing. Upload it inside the Trade Room so it remains connected to the transaction.

Supporting evidence and confirmation perform different jobs: evidence explains the claim; account verification establishes whether the expected credit arrived.

Responding to pressure or mismatch

A fraudster benefits when confirmation happens before checking. Slow down if the counterparty says an alert is enough, demands immediate release or sends a replacement image instead of resolving a discrepancy.

If the credit is missing, pending, short or from an unexplained source, keep the trade open and document the facts. Do not mark payment complete simply to avoid conflict.

A screenshot, an alert and cleared funds are different things

Screenshot received≠Transfer accepted≠Usable credit confirmed

A payment image is a claim supported by a document. Cleared funds are a banking event visible through the recipient’s trusted account access. The image may help identify an amount, date or reference, but only the receiving institution’s ledger can show whether the expected credit posted and is available.

Worked example

A buyer sends an image showing ₦685,000 transferred for $500. The seller receives an SMS alert but the banking app shows no corresponding usable credit. The correct response is to keep the trade open, state that the credit is not visible, and ask the buyer to trace the payment. Marking it paid because the screenshot looks convincing would create a false transaction status.

If the entry later appears as pending, confirm whether it can be used or withdrawn. If it posts and is then reversed, preserve both entries. If the amount or sender differs, record the mismatch before taking another action.

Five-step cleared-funds check

  1. Open the bank or provider using your normal app, bookmarked site or known contact channel.
  2. Select the receiving account recorded for the trade.
  3. Check the exact currency, amount, date and transaction status.
  4. Compare the sender name and reference where those fields are available.
  5. Confirm inside the Trade Room only after the credit is usable and consistent with the trade.

How fake or misleading evidence works

  • An old receipt is reused for a new transaction.
  • A genuine pending instruction is presented as completed.
  • The amount, beneficiary, time or status is cropped out.
  • An image is edited while retaining familiar bank branding.
  • A real transfer is sent to a different account.
  • A credit alert is spoofed or arrives before the ledger updates.

Visual quality cannot resolve these weaknesses. Logos, reference numbers and polished layouts can all appear in misleading evidence. Verify the underlying account event.

When the credit is short, split or unexplained

Do not silently treat a short payment as complete. Do not combine multiple deposits unless the protected terms and review process allow the source to be understood. Money from an unexpected third party can create compliance and refund risk. Keep the funds untouched where practical, document the source shown by the bank, and request protected assistance.

Safe document handling

Upload permitted evidence inside the Trade Room. Avoid public sharing and redact unrelated balances where permitted without altering payment-authentication fields. Never share passwords, PINs, full card details or OTPs. NairaFX support and counterparties do not need those secrets to review a receipt.

Decision rule

If you cannot independently see the correct usable credit, do not confirm it. A delayed transaction can be investigated; an incorrect confirmation may release value or advance a trade on a false premise.

Frequently asked questions

Can an authentic screenshot still be insufficient?

Yes. It may show initiation or a pending status rather than usable credit in the recipient account.

What if my SMS alert says I was credited?

Sign in through your trusted channel and confirm the ledger entry and usable balance.

Should I confirm to keep the trade moving?

Confirm only verified events. Use the Trade Room to document a delay instead of creating a false status.

Pending, posted, available and reversed

Bank interfaces use different labels. A pending item may still fail; a posted entry may exist while availability is restricted; and a previously visible credit may later be reversed. Check the actual balance and the institution’s status description rather than assuming every visible line is final.

If a reversal occurs after a trade status changed, preserve the original credit, reversal entry, references and timestamps. Notify the counterparty and NairaFX through the recorded channel. Do not conceal the reversal or attempt an undocumented recovery from another account.

Why accurate confirmation protects both parties

The recipient avoids releasing value against an unverified claim, while the sender receives a clear record of what is missing and can ask the bank to trace it. Accurate status reporting turns a disagreement into an evidence-based investigation instead of a contest between screenshots.
